Attendance

There’s a clear connection between going to school regularly and doing well in the classroom. Higher levels of educational achievement can mean better health, higher incomes, better job stability, and more participation in communities. This all makes society stronger and more connected.

At Botany Downs Secondary ߲ݴý we strive to maintain high levels of attendance and punctuality. We want to work in partnership between the school the whānau and the student.

Our procedures emphasise individual student responsibility, with clear consequences for truancy and/or lateness to school. We appreciate your support of this system which is designed to support quality learning.

Students are expected to:

  • Attend school every day the school is open.
  • Arrive to all classes on time and ready to learn.
  • Stay home when they are not medically fit to attend school.
  • Seek support from staff when ongoing barriers affect their ability to attend.
  • Check their attendance for the previous week via the attendance email or Webportal. Students are responsible for following up on any lessons or days with ‘?’.
  • Getting parents or guardians to contact the school explaining any absence.
  • Taking responsibility for their own attendance and accepting any consequences they may receive as a result of lateness or truancy – being at school, learning matters.

³Բ/Caregivers are expected to:

  • Ensure their child attends school regularly and punctually.
  • Support the shared goal of regular, on time attendance as a foundation for student success and well-being.
  • Inform the school promptly of any absence with a reason or attendance issues, as well as requests for leave.
  • Endeavour to schedule appointments (eg. medical and dentist) outside school hours.
  • Receive regular updates for your child’s attendance via the parent webportal, weekly emails for attendance, and fortnightly class engagement reports.
  • Participate and work in partnership with BDSC to help address barriers.
Is your child going to be absent from school?
  • Email [email protected] and provide the student’s name, tutor class, the date of, and reason for, the absence
  • Call 09 273 2310 and follow the prompts to leave a message on the Absence Line voice mail before 9.40am.

Is your child going to be late to school?
  • Contact Attendance [email protected] or Student Services [email protected] with a reason for lateness.
  • Students who are very late and only have 15-20 minutes of class left may be recorded as absent.
  • All students must sign in at student services if they are late school.

Does your child have an appointment during the day?
  • Contact Student Services to request an exit pass for your child – 09 273 2310 ext #473 or email [email protected]
  • Your child must sign in and out via student services.
  • You must provide evidence of the appointment for it to be record as D (doctors/dentist). A code of D does not count against your attendance. If no absence either an M-(medical) or E-(explained – unjustified).

Is your child sick?
  • They are to report to student services where the nurse can see them.
  • They must sign out at student services before they leave.

Does your child need to be out school for a period of time?

You must Request for Leave to take your child out of school and complete it at least one week prior leaving.

Further details Attendance Protocols can be found in section 1 of the Parent/Guardian Handbook.

BDSC Attendance Management Plan

BDSC Stepped Attendance Response (STAR) – Helping Students Attend School Regularly

At BDSC, we use the Stepped Attendance Response (STAR) to support our students in reaching their full potential. This plan helps us identify when a student is struggling to attend school and provides a clear path for support.

Our Goal

Our target is to lift regular attendance at BDSC to 73% by the end of 2026. We are here to help reduce any barriers to ensure every student can be at school every day.

Regular attendance is defined by the Ministry of Education as a student attending school for more than 90% of the time in a given school term.

This threshold is used to monitor student engagement and is a key target for the government, with a goal of 80% of students reaching this benchmark by 2030.

How it Works

We track attendance across four stages during term. If your child’s attendance falls into a different category, here is how we will work with you:

  • Step 1 (Green): Regular (0–4 days absent)
Keep up the great work! Focus on maintaining strong daily routines.
  • Step 2 (Yellow): Irregular (5–9 days absent)
The tutor teacher will reach out to discuss any concerns and look for simple solutions.
  • Step 3 (Orange): Moderate (10–14 days absent)
The whānau leader will arrange a meeting with you and your child to create a formal support plan.
  • Step 4 (Red): Chronic (15+ days absent)
The Senior Leadership Team will get involved. This may include formal meetings or support from external community agencies.

Every minute counts and everyday counts. Even being 5–10 minutes late has a real impact over time.
Being at school means the learning can happen. Patterns of absence can result in significant loss of learning.
